Whether it’s finance teams automating invoice processing, customer support reps routing tickets more intelligently, or HR onboarding new hires faster, automation helps every function move with more speed and fewer errors. What I looked for in the G2 user reviews was tools that strike a balance: user-friendly enough to deploy quickly, yet powerful enough to scale automation across teams and departments.

How did I find and evaluate these top robotic process automation software?

I’ve evaluated enough RPA tools to know that not all of them actually make life easier. I wanted to find software that helps teams ensure repetitive tasks are made easier without turning automation into another complex project.

 

To do that, first, I looked at G2 Grid Reports to identify the top robotic process automation software, which is ranked by usability, feature set, and customer satisfaction. After identifying the top contenders, I went beyond the ratings and used artificial intelligence (AI) to analyze thousands of G2 reviews, pulling out common pain points, praise, and overlooked features.

 

Finally, I evaluated G2 reviews for the shortlisted tools. For platforms where user feedback alone didn’t paint the full picture, I reached out to professionals who actively use these tools in their day-to-day workflows, comparing their insights with verified reviews. The screenshots featured in this article may be a mix of those captured during evaluations and ones obtained from the vendor’s G2 page.

 

The result? A curated list of the best RPA tools that actually perform in real-world environments. 

My criteria for evaluating the best robotic process automation software

I’ve spent enough time exploring RPA tools to know that flashy dashboards and buzzwords don’t guarantee results. So I combined user insights from G2 reviews with hands-on research and feature analysis to build a criteria set grounded in what actually matters. Here's what I prioritized:

  • Ease of use and bot creation: RPA shouldn't require a PhD in scripting. I looked for tools that offer visual bot builders, screen recording, and drag-and-drop design to help users, technical or not, to quickly build workflows and deploy bots without friction.
  • Reliable task automation: A good RPA tool should remove repetitive work without constant human supervision. I prioritized platforms that allow users to automate tasks like data entry, file transfers, report generation, and multi-step workflows with consistent accuracy. Bonus points if the software offered conditional logic, error handling, and low-code/no-code options for ease of use.
  • Process recording and bot creation: I focused on tools that make it easy to build bots without coding. That includes features like screen recording, drag-and-drop designers, and visual workflow mapping. The goal is to empower business users, not just IT to build and deploy bots quickly.
  • Cross-platform and multi-app integrations: Automation means little if it’s limited to just one tool. The best RPA platforms work across a range of business apps, cloud platforms, and legacy systems. I looked for tools that offer strong out-of-the-box connectors and robust API support for integrating with CRMs, ERPs, databases, help desks, and more, because real-world workflows rarely live in a single system.
  • Security and role-based access control: RPA tools often touch sensitive data and business-critical systems. I focused on platforms that offer built-in encryption, audit logs, and granular permissions so teams can maintain tight access control while meeting compliance needs like GDPR, HIPAA, or SOC 2.
  • Performance tracking and analytics: To get real value from automation, teams need visibility. I looked for platforms that provide performance dashboards, success/failure tracking, and usage reports. These features help teams understand what’s working, where improvements are needed, and how to optimize ROI over time.

Over the span of several weeks, I researched and evaluated close to 25+ robotic process automation software. I narrowed down the best six based on their features and ease of use. 

To be included in this category, a solution must:

  • Automate tasks for employees, both with and without human intervention

When I started digging into user feedback for UiPath, a few themes popped up over and over again and honestly, it paints a really well-rounded picture of the platform.

What users absolutely love about UiPath is how it takes the heavy lifting out of automation. Automation was the number one word that kept coming up. Whether it’s automating simple tasks or orchestrating complex workflows, users consistently mentioned how UiPath makes it easy to automate repetitive, rule-based work. A lot of folks called out the user-friendly interface too, something that’s approachable whether you're an IT professional or someone just starting to explore RPA.

Another standout was the strong support system around the product. From UiPath’s community forums to its customer service and documentation, users felt like they weren’t just thrown into the deep end. Integration capabilities also earned big points. One of the biggest things users seem to appreciate about Automation Anywhere is its strong focus on AI integration. From what people shared, the platform’s ability to weave AI into automation workflows really helps teams move beyond basic task automation into more intelligent, decision-driven processes. Users also loved the platform’s integration capabilities, noting how easily Automation Anywhere connects with various enterprise apps and systems without needing endless workarounds.

If there’s one thing that became obvious while reviewing feedback on Microsoft Power Automate, it’s this: people really want automation that fits naturally into the tools they already use. And that's exactly where Power Automate shines, according to users.

From the reviews I evaluated, it’s clear that Power Automate makes a big impact when it comes to automating repetitive tasks and improving task management, especially for teams already deep into the Microsoft ecosystem. Whether it’s Outlook, SharePoint, Teams, or Excel, users loved how seamlessly Power Automate plugs into their daily workflows.

Templates got a lot of love. Users shared that Power Automate’s pre-built templates really help flatten the learning curve when you're just getting started. Even for non-developers, the low-code setup makes it feel a lot more approachable than traditional RPA tools.

And I couldn’t help but notice how often Outlook integration popped up in a positive light. Little things, like being able to trigger automations directly from emails, make a real difference in how teams get work done faster without switching tools.

Several users pointed out that building complex workflows isn’t always as simple as advertised. Power Automate does a great job with basic automations, but scaling to more advanced processes can require a much steeper learning curve.
