I often ideate and mentally prototype a bootstrapped brand of my own. One of the initial thoughts that cross my mind is managing accounts receivables. 

Businesses need capital to survive the wrath of the financial economy. The accounting and finance teams must always be well-versed in managing cash transactions, optimizing profit, and strengthening financial security.

As I pursued my master's, I explored and studied financial accounting and solved financial case studies. My research informed me that accounts receivable software is a pivotal tool for monitoring cash transactions, liquidating inventory, reducing daily sales outstanding (DSO), improving the credit-to-cash lifecycle, and balancing a business's cash inflow and outflow.

But how can you keep track of cash?

To study the market further, I reviewed and evaluated  7 best accounts receivable software that tracks outstanding payments, sets payment reminders, and regulates financial credits to run your business smoothly. Let's see what I found. 

7 best accounts receivable software that stood out

Even though I don't have any hands-on experience with the accounting sector, I have been a part of the corporate sector and got in terms with the challenges of accounting teams. I am acquainted with the daily struggles around managing subscriptions, credit bills, invoices, general ledgers, and customer loans or installments that create a sense of fiasco and make you lose track of your revenue.

That's where the best accounts receivable software proved to be a cog in the financial strategy. Accounts receivable software tracks account payables, cash outstanding, debtors, and daily sales outstanding (DSO) and sets easy-to-use automation to receive timely payments and manage capital wisely.

Not only that but accounts receivable software also provides real-time advanced reporting to track your cash transactions and maintain a robust income statement. My major focus of research centered around evaluating accounting features and advanced integration that can automate cash management for financial teams.

How did I find and evaluate the best accounts receivable software?

I spent weeks evaluating the reviews of the 7 best accounts receivable software that can help companies automate financial transactions, log cash transactions, and maintain digital ledgers to improve accuracy and receive payments faster.

 

The analysis below covers a broad range of experiments with these tools and lists an unbiased description with proper adherence to key features, pros and cons, market relevance, consumer satisfaction, and cost-effectiveness for businesses to make an informed decision. 

 

In evaluating these tools, I also factored in AI to summarize key trends, narrow down user sentiments, and determine plans and subscriptions for small, mid-, and enterprise-sized businesses. I also paid attention to real-time G2 grid report rankings and user reviews that detail each tool's key pros and cons.

 

In cases where I couldn't personally evaluate a tool due to limited access,  I consulted a professional with hands-on experience and validated their insights using verified G2 reviews. The screenshots featured in this article may mix those captured during evaluation and those obtained from the vendor's G2 page.

What makes an accounts receivable software worth it: my opinion

With modest experience in accounting but substantial market knowledge, it was challenging for me to align each tool with the crucial objectives of companies.

After carefully analyzing G2 reviews and trying a handout on this software, I devised a list of non-negotiable features in accounts receivable software.

  • Automated invoicing and payment reminders: I shortlisted the tools that offer automated invoicing to track manual transactions and eliminate payment delays. I shortlisted this because manual invoicing leads to errors, delays, and missed follow-ups. Automation ensures that invoices are sent on time and customers receive constant reminders without you having to chase them. This also reduces late payments and strengthens your cash inflow and outflow. 
  • Real-time payment tracking and reconciliation: I also catered to the need for full visibility into when payments are credited and the related invoices. Real-time tracking ensures that you eliminate manual guesswork and track your invoices for multiple stakeholders. Automatic reconciliation cuts down errors and helps close the book faster at a company's financial closing. It also gives you the confidence to calculate your expenses and profits more accurately. 
  • Multi-channel payment options: Not all customers pay the same way, which makes it imperative to have multiple payment gateway integrations with your accounts receivable software. I looked for a tool that supported ACH, credit cards, wire transfers, and even e-wallets. By making it easier for your customers to pay through preferred methods, you can reduce your DSO and improve your account's receivable metrics on your income statement. 
  • Self-service consumer portal: I thoroughly analyzed which accounts receivable tools provide robust customer support services to assist the finance teams with their queries. I looked for a tool that answers emails about invoice copies, due dates, payment histories, and any other confusion around the clock. A self-service consumer portal gave customers 24/7 access to communicate their challenges and solve recurring problems. 
  • Integration with ERP, CRM, and accounting tools: Sometimes, data transfers between an accounts receivable tool and enterprise CRM are time-consuming. To centralize financial operations, I prioritized software that integrated directly with ERP tools like QuickBooks and Salesforce. This way, invoices, payments, and customer data sync with the larger tech stack and reduce manual transfers or data entries into the CRM.
  • Advanced reporting and analytics: Understanding key metrics like DSO, aging balances, and payment patterns is also critical to managing finances. I shortlisted tools that offered reporting insights to help track active and previous transactions and outstanding payments. Strong analytics can help you spot bottlenecks in the collection process and forecast cash flow more accurately.

Initially, I researched and enlisted around 50+ accounts receivable software and narrowed my findings based on the above parameters to present a more concise and informed review of the best providers you can consider to track expenses and forecast business strategies wisely.

This list below contains genuine reviews from the accounts receivable category page. To be included in this category, software must:

  • Manage different types of customer transactions such as invoices, credits or payments.
  • Capture and process large amounts of transactions efficiently with minimum human involvement.
  • Match invoices, credits, and payments with quotes and sales orders to ensure the correct amounts are being processed.
  • Provide workflows that can be used to define rules and exceptions for accounts receivable processing.
  • Include customized approval processes for all types of AR transactions 
  • Deliver reports and analytics on the status of invoices and payments, as well as customer credit or transaction history.

1. BILL AP/AR

BILL AP/AR is an AP and AR automation platform that automates financial record-keeping to know about your client or customer's outstanding and account receivables.

It captures, stores, and retrieves cash transactions and client details to eliminate payment delays and monitor margins.

What interested me the most was how easy and intuitive it was to use. I didn't need to be an accounting wizard or watch hours of training videos. It is super intuitive and allows me to upload bills, set up vendors, or schedule payments all from a unified platform.

Another thing I love is the simple and effective invoicing process. You snap a photo or forward an email, and BILL takes care of the rest. It automatically pulls data, suggests the right GL account, and lets you route it to the right approver.

And if your team is anything like mine, you'll appreciate how you can assign roles so that no one steps over each other's toes. The separation of duties creates a sense of harmony between the departments.

It also integrates really well with QuickBooks, syncing transactions almost in real time so that you are not stuck double-entering everything. We've got a lot of remote folks on the team, so having mobile access and an audit trail keeps everyone aligned, regardless of their geographical locations.

However, there are some areas of improvement for BILL. I've run into bugs, like payments that are randomly duplicated or reports that don't refresh correctly. And there was an issue with voiding payments. It should be simple, but it's clunky, and sometimes I need to call support to get things sorted.

Speaking of support, I wish they were quicker. It can take some days to hear back, especially if you are on one of the basic plans.

Also, while core AP/AR tools are solid, reporting could have been better. I usually have to export data to Excel if I want to do any serious analysis. And if you are dealing with international payments, you'll need to be on a higher plan to access things like FX conversions and cross-border capabilities.

Overall, BILL AP/AR is a one-stop platform to monitor your outstanding, track client payment timelines, and keep track of liabilities or expenses to ensure a smooth financial workflow.

What I like about BILL AP/AR:

  • I love how you can set up recurring to save time and handle monthly payments automatically and effortlessly.
  • I also appreciate its user-friendly, glitch-free, and cost-effective implementation into our organization.

What do G2 Users like about BILL AP/AR:

"Bill uses AI to read the bills that you can either email to Bill or upload directly to your account and appropriately categorize each line item, read the due date, and line the bill up in your queue to be paid on time. I can set bills to be approved by different team members and better manage my cash flow by scheduling bills to be paid on time."

What I dislike about BILL AP/AR:
  • While BILL offers seamless AP/AR integration, most of the time, my bill doesn't get paid automatically because it gets caught in my bank's fraud filter. This makes it difficult to run payment a second time. The same has been reflected in G2 reviews.
  • I also found that the tool is a bit slow and lags sometimes. Sometimes, we also had to process invoices manually. The same has been highlighted in G2 reviews.

2. Billtrust

Billtrust is an agile B2B AR software that manages your business income, tracks expenses, and reduces manual errors while processing client invoices or bills.

I used Billtrust to manage accounts receivable, and it does the job. What works best for me is the automation. It sends invoices and payment reminders and handles most of the follow-ups without me doing much, which saves a lot of time.

The payment portal is simple. Clients can check their invoices and statements, and they don't need to ask me for copies. The system keeps track of payments and shows me what's been paid and overdue. It also connects with our ERP, which cuts down on manual entries. I've used it with Netsuite, and it worked fine after setup.

Customer support was helpful when I ran into problems. They are not always fast, but they usually solve the issue. The invoice delivery system works well, and I like that I can schedule emails and reminders.

Some areas where it can improve are the user interface and data management. The interface is a little clunky. It is not easy to move around, and some things take too many clicks. It looks outdated and isn't built for quick use. Reports are pretty basic unless you upgrade to a higher-tier plan. I expected more insights out of the box.

There are syncing delays when pushing batches of data, especially with large volumes. I've had to wait or refresh to see updated info. Also, some features, like customizing templates or dashboards, aren't available unless you are on a more expensive plan. Even then, they are limited.

Another issue I faced was that email reminders don't always land in inboxes. Some clients say they didn't get anything, and I've had to resend manually. The dispute resolution tools and reconciliation features work, but they are hard to find in the system. 

Overall, Billtrust offers a range of features like bank reconciliation, payment portal integration, and cash automation to optimize financial strength and overall accounting operations. 

What I like about Billtrust:

  • I loved how Billtrust allowed me to jump from one tab to another and how to sort it out between different customers.
  • I was also impressed by its ability to simplify and automate the entire invoicing and payment process. 

What do G2 Users like about Billtrust:

"Billtrust has some great features that have been added. I love having one platform that can almost do everything needed to work my accounts daily. Customer Support has been great when submitting tickets and always so friendly."

What I dislike about Billtrust:
  • While the interface is pretty interactive and user-friendly, there is limited interaction with the customer, and invoices don't get updated quickly. The same has been reflected in G2 reviews.
  • G2 reviews highlighted that sometimes they couldn't pull the invoices and had to search by name instead of the invoice number.

3. Qonto 

Qonto is an invoice management and AR tool that automates invoice processing, offers flexible payment methods to customers or partners, and tracks sales credits to forecast future operations and manage capital for the company.

When I first signed up for Qonto, I searched for a smoother way to manage my business finances. I found a digital-first, intuitive platform that replaced traditional banking for us. Setting up my account took a bit of time. But it was seamless and didn't cause bureaucratic friction like other banks.

The user interface was clean, modern, and designed with usability in mind. Whether I was creating sub-accounts, managing team expenses, or issuing virtual cards, everything worked.

I run a small team, and getting them onboard was a breeze. Everyone, from tech-savvy developers to the marketing lead, picked it up immediately. We could generate cards for various use cases in minutes, massively reducing our finance team's workload.

Another thing I found extremely helpful is that Qonto integrates with our accounting system. Managing receipts, tagging transactions, and even syncing invoices was easier than before. 

But, it wasn't just the ease of use factor; it is also incredibly responsive when things go sideways. The customer service team is extremely helpful and offers white-glove assistance. It made me feel as if we were being taken care of.

However, there were a few downsides. The pricing structure can feel a little opaque, especially when exploring premium features. Some users have reported falling into "subscription traps," like paying for a month's subscription without fully understanding which features justify that cost.

And yes, while the service includes great automation and sleek dashboards, you don't get everything you would from a traditional bank. Which means that you won't get any checks or overdrafts. This doesn't bother me, but for some, it does.

What also stood out to me was their tiered subscription model. I started with the Solo plan, which was decent for basic needs, but as soon as I needed more granular control, like multi-user access, custom roles, or expense validation, I had to move up to standard and later to the premium tier.

With Premium, we gained access to features like bulk transfers, priority support, higher transfer limits, and advanced integration with accounting tools like Xero and Slack. The enterprise tier (that I didn't evaluate personally) promised tailored onboarding, custom billing options, and a dedicated account manager and was aimed at larger teams or companies scaling rapidly.

Technically, Qonto is sharp. You can set spending limits per card, automate recurring payments, and even define expense approval chains. The mobile app is just as robust as the web platform. Whether traveling or at a client site, I have full control over the finances from my phone. 

However, Qonto does have its downsides. As per G2 reviews, it falls short in comparative value for certain international users. Some peers in Spain or Columbia mentioned that platforms like Jeeves or Payhawk offer more incentives, such as cashback or lower pricing tiers. Also, while the design is clean, some menus could be more intuitive.

Overall, Qonto is a user-friendly and intuitive invoice automation and AR automation tool that gives you a clear picture of the amount going in and out and tracks client transactions smoothly.

What I like about Qonto:

  • I love doing everything myself on Qonto without calling customer operations.
  • Another feature I appreciate is the speed of notification as soon as the payment is made.

What do G2 Users like about Qonto:

It is very easy to manage all day-to-day transactions, including the generation of client invoices, the sending and receiving of funds, and the depositing of cheques. My accountants can easily look at the account and take an electronic snapshot of everything happening. The client support is fast and efficient, and all queries are answered in a timely manner.

What I dislike about Qonto
  • While the platform offers a smooth financial management experience, the service cost is high, especially compared to traditional banks. G2 reviews have highlighted this.

4. Quadient Accounts Receivable by YayPay

Quadient Accounts Receivable by YayPay is an AR automation platform that automates cash collection workflows, stabilizes net income, and helps manage expense invoices for B2B companies.

I evaluated Quadient AR for a while, and honestly, it can be an essential part of managing collections and cash flow. 

The biggest win for me has been the automation and user-friendliness. From automated payment reminders to setting and tracking "promise-to-pay (P2P) commitments, this platform reduces manual grunt work. The UI is clean and intuitive and doesn't require a steep learning curve, which is rare for financial software.

What also stood out during onboarding was the smooth integration with our accounting systems, especially Netsuite. Quadient AR integrated our entire customer portfolio with minimal issues. The setup didn't require weeks of back-and-forth with tech support. That made me confident that this was better than a flashy SaaS tool.

Another point I appreciate is real-time analytics and customer visibility. The dashboards are incredibly helpful for tracking outstanding balances, aging reports, and invoice disputes.

I got a clear picture of what's due, who owes what, and how long it's been pending without downloading Excel sheets or waiting on custom reports. 

The communication history is on each customer's profile, though I wish there was a more logical way of viewing message threads on the dashboard.

I also appreciated the availability of customizable collection workflows tailored to our operations. Whether segmenting customers based on risk or setting escalation rules, the workflow builder gives me control. 

I no longer feel boxed in rigid process templates. And the automatic reminders (email nudges or overdue notices) go out exactly as configured, so I don't even have to manage follow-ups.

However, the tool has its share of downsides as well. When customers pay large batches, say 50+ invoices, it creates a separate line of notification for each invoice. This clutters the customer screen. It would be much better to have one consolidated view showing all the invoices and total paid. 

Also, the occasional system updates mess with my display preferences. It's frustrating when my customizing views reset without warning.

From a subscription standpoint, Quadient AR offers flexibility. However, I noticed premium features like advanced analytics, customer portals, and expanded workflow rules are only available in higher-tier plans. 

The base plan covers essentials like payment tracking, invoice reminders and support for basic integrations. But if you are a large enterprise or want predictive cash forecasting or credit risk analysis, you need to upgrade.

Overall, Quadient is a reliable AR automation platform that tracks outstanding payments, sends invoice updates, and gives you insights on balance payments to automate accounting operations and reduce manual errors. 

What I like about Quadient Accounts Receivable by YayPay:

  • What impressed me was the ability of each customer to use the email trail. Whether it is an invoice, a payment remittance issue, or a discussion, it's all in one platform.
  • I also loved how easy to navigate, user-friendly, and customizable the platform is. That aligned with my business needs.

What do G2 Users like about Quadient Accounts Receivable by YayPay:

"I think this program has been super helpful in keeping things organized and customers informed. Super user-friendly and customer-friendly. I LOVE IT. I use it every day. What I dislike about Quadient Accounts Receivable by YayPay
  • Although Quadient tracks your expenses, I found out that the conversations in communication are not grouped, and the inbox needs a bit of tweaking. This is also being highlighted in G2 reviews.
  • G2 users also mentioned that workflows can be difficult to use and that adding users can sometimes lead to hiccups.

5. HighRadius Accounts Receivables

HighRadius Accounts Receivables is a B2B accounts receivable and financial management tool that optimizes cash forecasting, offers AI-driven cash management services, and tracks invoices and debtors to monitor finances.

What stood out to me right from the start was the automation capabilities, especially in collection and cash application modules. I no longer have to manually match payments with remittance data from different portals. 

The system seamlessly integrates with various payment sources and banks, saving me hours of manual reconciliation every week.

The cash application process, which used to be a pain point, is now a breeze. With features like AI-powered remittance matching and straight-through processing, our team saw a noticeable improvement in efficiency. 

We improved our straight-through processing rate from around 50% to close to 85%. That is a huge leap that has reduced our dependency on manual oversight. 

One more feature I appreciated is the Worklist and Analytics dashboards. This gives us a clear, real-time view of what's happening across different accounts. 

I can filter by priority, view team workloads, and track correspondence velocity, all from a centralized platform. It is surprisingly intuitive, even for new users. And when I say intuitive, I genuinely mean user-friendly, clean, and logical.

However, the platform also has a few areas for improvement. One of the issues I faced was with the support and development team. They are slow to respond, especially when technical issues crop up like certain functions randomly disappearing or automated rules misfiring.

While the innovation pace is impressive, it is a double-edged sword. A lot changes constantly, and it is really hard to keep up. The updates also aren't fully documented or communicated adequately. 

I found G2 users wishing for a clearer roadmap or better in-app guidance when new modules are released. The pricing isn't always transparent upfront.

From what I gathered and experienced, the core modules (like cash app, collections and deductions) are available in the basic tier, but features like advanced AI analytics, priority worklist routing, and integration with external portals are all a part of more premium plans.

We started with a standard subscription and quickly realised that we needed a higher-tier package to fully take advantage of AI-driven capabilities.

Overall, HighRadius efficiently handles major AR operations and transaction volumes to ensure no payment discrepancies or manual invoice processing.

What do G2 Users like about HighRadius Accounts Receivables:

  • I love how AI-driven capabilities streamline payment posting, reduce manual intervention, and identify errors to accelerate cash flow.
  • I also love how, after implementing the cash application module, our team saw a huge improvement in no-touch auto cash receipts.

What I like about HighRadius Accounts Receivables:

"I can track payments that hit but may not be applied by our cash app team yet to ensure I am not holding any orders unnecessarily. I like that I can pull a check copy to review deduction information and verify payment details at any time. The bots can pull information from our customer portals, too, which saves us some steps. I like the deduction module and the fact that we can attach all the backups in one place, making it easy to show audit support. We can also run reports by age, reason code, account rep, and other categories, which is nice."

  • While customer support is usually fine, I wish they had a customer support phone number to contact the help desk to open a ticket. It has also been reflected in G2 reviews. 
  • I also found, as per G2 users, that the case submission process and support can become confusing and not be fully responsive.

6. Upflow

Upflow is a centralized AP and AR management tool that tracks your debt liabilities, monitors AR account data, and builds a healthy cash flow for your business. It also manages your B2B finances to tap into new investment opportunities and profit.

I've used Upflow for a while, and honestly, it's transformed how we manage outstanding payments. The first thing I noticed was how incredibly intuitive the platform was. I didn't need to spend hours figuring it out.

The onboarding was smooth, the dashboard was clean, and everything made sense. From day one, I could easily set automated workflows, tailor them to customer segments, and even build personalized follow-up cadences.

What really sets Upflow apart is its workflow automation for cash collection. It's not just about sending reminders; it lets you build logic-based sequences, compete with conditions, and anticipate delays.

So instead of blasting out generic emails, I am able to send personalized, behaviour-based nudges to clients. You can also integrate this tool with invoicing platforms like Chargebee or QuickBooks. However, a few team members mentioned that integration with Chargebee or Go Cardless could have been more robust.

I also want to call out their collaborative dashboard. It is not just for finance folks; each project owner or account manager can log in to view their accounts and outstanding balances and even pick up client conversations where someone else left off. This decentralized visibility is a huge plus for cross-functional teams.

Upflow's analytics and reporting tools are also a major advantage for teams. You can examine real-time aging reports, monitor DSO, and track who owes what and when. 

It even lets you track financial key performance indicators (KPIs) that matter. The KPIs are distributed from initial invoice send-outs to final payments. That said, some team members wished it included KPIs that tracked the journey from contractor signature to payment, not just invoice metrics.

From a UI/UX perspective, Upflow nails the basics, like drag-and-drop functionality, easy invoice upload, and clean list views of outstanding AR. One of the highlights for me has been how quickly Upflow evolves. 

Their support team is not only responsive, but they're also incredibly open to feedback. Once, a user mentioned that they required a custom workflow and saw it rolled out in a week.

However, the platform has its ups and downs. Some team members mentioned that pausing communication at the invoice level (instead of the entire customer level) is impossible, which can cause problems in resolving customer conflicts. 

Also, while I personally didn't struggle, a few folks said that there is a slight learning curve when setting up initial workflows. 

Regarding pricing tiers, according to my evaluation, Upflow has a flexible subscription module that scales with your AR volume and business size.

The basic plan includes core automation, invoice tracking, and email reminders. As you go up the tiers, you get access to advanced analytics, team collaboration tools, integrations (like Salesforce, QuickBooks, Xero, and Chargebee), and multi-user permissions. 

The top-tier plans come with dedicated success managers and custom implementation support, perfect for rolling it out company-wide. 

Overall, Upflow is a reliable tool that aims to speed up cash collection, automate bank reconciliation, and keep track of purchase transactions and client outstandings to run your business smoothly.

What I like about Upflow:

  • I love how we could easily integrate with Netsuite or Xero and customize the tool to our own workflows with ease.
  • I also appreciate its ability to manage credit control processes and help us reach clients at the right time with automated email reminders.

What do G2 Users like about Upflow:

What also surprised me was the Kolleno GPT AI assistant. I wasn't expecting much from an AI chat feature in a financial tool, but this one is genuinely helpful. It can craft personalized payment reminders, help clients with invoicing or billing queries, and even summarize customer histories, all without any manual intervention.

The dashboard is also super intuitive. I can see payment features, risk profiles, and even forecast potential cash inflow—all in one place. The reporting capabilities are pretty deep, too. You get granular insights by client, region, and custom tags, which makes executive reporting much easier and more efficient.

That said, I did feel overwhelmed in some areas while navigating the platform. The platform is pretty full-featured, and it took me a little while to learn my way around everything.

Kolleno also offered different subscription tiers. We opted for premium plans to access advanced features like AI assistants or integrations. Honestly, it was worth it just for the time saved in admin work. 

That said, I wish the onboarding had been a little more guided, especially with so many features to offer. It'd also be helpful if the platform offered more interactive tutorials or built-in training for new users.

Occasionally, even the AI-generated messages need a bit of tweaking before sending to clients. It's not a dealbreaker, but something to be careful about. Still, the fact that I can customize templates and workflows means I have full control over tone and brand voice.

Overall, Kolleno provides a one-stop snapshot for client invoices, manages credit and debit entries, and facilitates automated AI-based email to nudge clients in the right direction and close accounts.
