I Compared, Tested & Picked: 6 Best Procure-to-Pay Software

March 19, 2025

best procure-to-pay software

Managing business purchases might seem simple until invoices pile up, approvals get delayed, and tracking expenses becomes challenging.

Whether you run a startup or an enterprise, inefficient procurement can lead to unnecessary costs, compliance risks, and supplier disputes.

This is where the best procure-to-pay (P2P) software helps. These solutions automate the entire purchasing cycle, from vendor selection and purchase orders to invoice approvals and payments. They help businesses control spending and improve supplier relationships.

This guide breaks down the key features, benefits, and considerations of the best procure-to-pay software solutions.

My top 6 best procure-to-pay software recommendations for 2025

During testing, I saw how the best procure-to-pay software solutions streamline procurement with features like purchase order tracking, invoice matching, and approval automation. These tools help businesses reduce errors, improve cash flow, and simplify supplier management.

Companies like Amazon, Coca-Cola, and Microsoft handle thousands of supplier transactions efficiently, but you don’t need to be a global enterprise to benefit from P2P software. Even smaller businesses can cut costs, reduce manual work, and gain better financial control.

To help businesses of all sizes, I’ve tested and analyzed top P2P tools. Based on automation, ease of use, and overall efficiency, here are my six best picks for 2025.

How did I find and evaluate the best procure to pay software?

First, I explored G2 Grid Reports to identify the best procure-to-pay software that professionals rely on the most. Then, I tested these tools to evaluate how well they automate procurement workflows, manage vendor relationships, and optimize financial operations.

For tools I couldn’t test directly, I contacted procurement and finance professionals with hands-on experience and cross-referenced their insights with verified G2 reviews. The screenshots in this article come from a combination of my testing and vendor-provided materials on G2. To ensure a well-rounded analysis, I used AI to analyze thousands of G2 user reviews, extracting key insights and common feedback.

What I look for in procure-to-pay software

When evaluating the best procure-to-pay software, I focus on several key features to determine its effectiveness:

  • End-to-end procurement automation: I test how well the software automates the procure-to-pay lifecycle, from purchase requisition to invoice reconciliation. Multi-tiered approval workflows, custom purchase order (PO) creation, and seamless supplier catalog integration are essential. A rule-based automation engine ensures compliance with procurement policies, while electronic requests for quotations streamline vendor selection.
  • Supplier management: I evaluate how effectively the software consolidates vendor data, automates risk assessments, and streamlines onboarding workflows. Artificial intelligence (AI)-driven supplier performance analytics track pricing trends, contract adherence, and delivery key performance indicators. Built-in compliance tools help ensure vendors meet regulatory and environmental, social, and governance (ESG) standards.
  • Catalog and contract management: A contract management module must enforce negotiated terms, maintain audit trails, and issue automated renewal alerts. Punchout catalogs and real-time supplier pricing updates ensure procurement teams access the latest product availability while optimizing cost control mechanisms.
  • Invoice processing and payment automation: I assess how well the system automates three-way matching to validate invoices against POs and receipts, reducing errors and fraud. Optical character recognition (OCR) extracts invoice data with machine-learning-driven accuracy, while accounts payable (AP) system integration ensures smooth automated clearing house (ACH) transfers, wire transfers, and virtual card payments. Features like dynamic discounting algorithms maximize early payment benefits, improving cash flow optimization.
  • Spend analytics and cost control: AI-powered spend analytics provide real-time visibility into procurement expenditures, allowing tracking of category spending, supplier performance, and budget adherence. Predictive modeling identifies cost anomalies, inefficiencies, and potential savings opportunities. Interactive data visualization dashboards deliver actionable insights for procurement strategy adjustments.
  • Compliance and risk management: Embedded regulatory compliance tracking ensures alignment with the General Data Protection Regulation (GDPR), Sarbanes-Oxley Act (SOX), International Financial Reporting Standards (IFRS), and ESG mandates. Automated audit trails enhance financial transparency, while AI-powered fraud detection algorithms flag duplicate invoices, unauthorized transactions, and high-risk vendor activities. Customizable approval workflows prevent policy violations and unauthorized spending.
  • Integration with enterprise resource planning (ERP) and financial systems: I check how well the software synchronizes with leading ERP platforms to ensure real-time data consistency across procurement, finance, and inventory modules. Representational state transfer (RESTful) application programming interfaces (APIs) and pre-built connectors facilitate seamless third-party integration with eCommerce platforms, supplier networks, and analytics tools, eliminating data silos and improving operational efficiency.

The list below contains genuine user reviews from our best procure-to-pay software category page. To qualify for inclusion in the category, a product must:

  • Consolidate procurement information from multiple data sources
  • Manage all or most operations that are part of the procurement cycle
  • Create and implement purchasing policies and best practices
  • Monitor financial transactions related to procurement
  • Define and manage procurement business processes

This data has been pulled from G2 in 2025. Some reviews have been edited for clarity.

1. mjPRO

mjPRO is a procurement software that helps businesses find the right suppliers based on category and buying patterns. From procurement and implementation to post-activation support, it is a one-stop solution for managing the entire purchasing process.

While testing the tool, I found that its comprehensive features include automated workflows, real-time data exchange, and seamless supplier management, which can significantly improve procurement efficiency.

One of the most useful aspects of mjPRO is its e-tendering and bid submission capabilities. The platform makes it easy to submit bids digitally while ensuring compliance and keeping all tender-related documents organized in one place.

What I like most about mjPRO is its automated workflowstreamlining repetitive tasks for procurement and finance teams. Features like an auto-request for quotation and auto-comparative statement reduce manual effort, while its integrated data exchange makes communication between stakeholders smooth and hassle-free.

mjPRO

One of my biggest pain points was the lengthy bid submission process. While the system provided clear guidance, some steps felt unnecessarily complicated.

The portal occasionally froze, requiring me to log in multiple times. While the platform generally functioned well, G2 users also reported occasional glitches and bugs that interfered with usability.

I also struggled with the Excel format not working properly, which slowed down the process even further. Some G2 reviews mention that the submission workflow could be more streamlined for a smoother experience.

What I like about mjPRO:

  • I found the e-tendering and bid submission features really helpful for managing digital submissions. Keeping all tender-related documents in one place made the process more organized and reduced manual effort.
  • The automated workflow was a great time-saver, especially for procurement and finance teams. Features like auto-request for quotation and auto-comparative statements made tasks more efficient and kept stakeholder communication smooth.

What G2 users like about mjPRO:

"The Mjunction portal is well organized and easy to access. Whenever we face any issues during e-bidding or e-auctions, we always receive prompt support from the Mjunction team."

- mjPRO Review, Abhijit G.

What I dislike about mjPRO:
  • The bid submission process felt a bit more complex than necessary, with multiple steps that took extra time. While the system provided clear instructions, a simpler process would make things easier.
  • The portal occasionally froze, and I had to log in again, which slowed things down. I also had some trouble with the Excel format not working properly, something a few G2 users also mentioned.
What G2 users dislike about mjPRO:

"The registration and document upload process could be further streamlined for a smoother user experience."

- mjPRO Review, Gaurav T.

2. SAP Ariba

SAP Ariba is a spend management tool that automates the purchasing lifecycle for indirect goods and services.

While testing it, I realized that it helps streamline procurement by integrating purchases, invoices, and approvals. It also connects with trusted vendors globally through the Ariba Network, making it a solid platform for buying and invoicing.

One thing I really liked was how easily it integrated with SAP ERP and S/4HANA. Since everything synced in real-time, procurement teams did not have to worry about manual data entry or delays.

SAP’s customer support was another big plus. Whenever I had an issue, they provided clear explanations and walked me through the solution step by step. G2 users have echoed similar positive experiences.

SAP Ariba

That said, getting started took time. The platform has many features, and learning how to use them properly requires training. It was not the most intuitive experience at first, so I had to put in extra effort to get comfortable.

I observed that it handles procurement well, but adding smarter features could make it even more efficient. As per G2 users, better server accessibility and improved AI integration could enhance automation.

Another thing that stood out was the outdated UI/UX. It felt a little clunky, and navigation could be improved. G2 users also mentioned that the interface needs to be more user-friendly. A modernized design would make the experience much smoother.

What I like about SAP Ariba:

  • I really liked how easily SAP Ariba integrated with SAP ERP and S/4HANA, ensuring real-time synchronization across procurement processes. This eliminated the need for manual data entry, reducing errors and delays for procurement teams.
  • SAP’s customer support was another big plus, as they provided clear explanations and guided me through solutions whenever I encountered an issue. Many G2 users have echoed similar positive experiences, highlighting the responsiveness and effectiveness of their support team.

What G2 users like about SAP Ariba:

"Having used it for nearly two years, I find it convenient and easy to use. While occasional updates introduce new features, they remain understandable since I use the platform regularly. What I appreciate most is its ability to process requests in a timely manner."

- SAP Ariba Review, Ian Dwight C.

What I dislike about SAP Ariba:
  • Getting started took time because the platform has many features, requiring proper training to use effectively. So, I had to put in extra effort to get comfortable navigating the system.
  • The UI/UX made navigation difficult. Many G2 users have also pointed out that the interface should be more modern and user-friendly to improve overall efficiency.
What G2 users dislike about SAP Ariba:

"It is quite complex, and users may need time to fully understand the tool. Additionally, the high implementation cost makes it less accessible for smaller companies and startups, leading them to explore other alternatives."

- SAP Ariba Review, Aditya B.

3. Coupa

Coupa is an AI-driven procurement solution that automates purchasing workflows, reducing the need for manual oversight. From both a user experience and administration perspective, I found the system well-structured and efficient.

One of the biggest advantages I observed is how Coupa streamlines procurement. Once a vendor is linked, I simply locate the required items. After approval, the PO is automatically generated and sent, eliminating extra steps. This significantly reduces the workload for procurement teams, removing the need for constant manual management.

I also explored Coupa’s analytics section, which was quite powerful. While it took me some time to fully understand its capabilities, I appreciated the extensive categories, filters, and reporting options available.

Coupa

That said, the interface wasn’t very user-friendly. Like some G2 reviewers, I had to spend extra time figuring out where things were, and I can see how someone unfamiliar with the system might struggle initially.

I also noticed limited support for catalogs and cXML invoicing. While the core procurement functionalities worked well, there weren’t enough resources or guidance available for these areas.

Additionally, G2 users have raised concerns about Coupa’s sourcing functionalities, supplier information management forms, and risk modules, highlighting the need for improvements in usability and flexibility.

What I like about Coupa:

  • Coupa streamlined procurement by automatically generating and sending purchase orders once a vendor was linked and an item was approved. This eliminated extra steps and significantly reduced the workload for procurement teams, removing the need for constant manual management.
  • The analytics section was quite powerful, offering extensive categories, filters, and reporting options that provided deep insights into spending patterns. While it took me some time to fully understand its capabilities, I found it valuable for making data-driven decisions.

What G2 users like about Coupa:

"The Treasury section includes features for loan management, interest calculations, and linking multiple companies within a single tool. It provides clear reports, cash flow tracking, and payments via SWIFT, which is a significant advantage."

- Coupa Review, Verified User in Defense & Space

What I dislike about Coupa:
  • The interface wasn’t very user-friendly, requiring extra time to navigate and locate essential functions. Like some G2 reviewers, I found that someone unfamiliar with the system might struggle initially.
  • I noticed limited support for catalogs and cXML invoicing, which could be frustrating for businesses relying on these features. While the core procurement functionalities worked well, more resources and guidance in these areas would enhance usability.
What G2 users dislike about Coupa:

"Vendors sometimes find the system challenging to navigate. Coupa has multiple screens requesting information, making it easy for them to lose their way while accessing our form. The way these screens are presented can also cause confusion about who is requesting the information. My only experience with Customer Support was referring a vendor for help, but they were redirected back to me."

- Coupa Review, Verified User in Mining & Metals.

Use the best invoicing software to reduce delays and improve vendor relationships with automated workflows.

4. Airbase

Airbase is a procure-to-pay solution that simplifies expense management with AI-powered automation.

One of my favorite features is how effortlessly I can snap a picture of a receipt, and Airbase automatically uploads, saves, and extracts details with no manual input required.

The receipt matching feature is another game-changer. When a receipt arrives in my inbox, Airbase seamlessly links it to the right transaction, reducing errors and making expense tracking effortless. No more digging through emails or manually matching receipts.

I also appreciate the transparent approval process, users can see exactly who’s reviewing a request, follow up if needed, and once approved, reimbursements are sent straight to the account.

Invoice reconciliation is quick and hassle-free, keeping vendor payments organized so I always know where things stand without chasing down details.

Airbase

That said, PO requests could be improved, if a request is denied, there’s no way to access or duplicate it, forcing me to start over from scratch, which adds unnecessary work, especially for recurring purchases.

I also wish there was an option to bulk edit descriptions, departments, and categories instead of updating each receipt individually. This would make managing large volumes of expenses much more efficient. G2 reviews echo this concern, as many users find manual updates time-consuming.

A memory function for recurring expenses would also be a fantastic addition. If Airbase could remember my previous coding and descriptions, it would streamline workflows and ensure consistent transaction management.

What I like about Airbase:

  • I love how effortlessly I can snap a picture of a receipt, and Airbase automatically uploads, saves, and extracts details with no manual input required. This automation saves time and ensures that expense tracking remains accurate without the hassle of data entry.
  • The receipt matching feature is a game-changer. It seamlessly links emailed receipts to the right transactions. This eliminates the need to dig through emails or manually match receipts, reducing errors and making expense management much more efficient.

What G2 users like about Airbase:

"Airbase has completely streamlined expense management! I love how AI handles receipts; just snap a picture, and it uploads, saves, and extracts details automatically. The receipt matching feature is a game-changer, seamlessly linking receipts to transactions. Bulk reporting makes submissions efficient, and syncing my Airbase card with Google Pay adds extra convenience. Expense tracking has never been this smooth, I highly recommend it!"

- Airbase Review, Marine M.

What I dislike about Airbase:
  • The PO request process could be improved since there's no way to access or duplicate a denied request. For recurring purchases, a duplication feature would save time and effort.
  • I wish there was an option to bulk edit descriptions, departments, and categories instead of updating each receipt individually. Managing large volumes of expenses would be far more efficient with this capability. Many G2 users share similar concerns.
What G2 users dislike about Airbase:

"When requesting purchase orders (POs) and virtual cards, there is no option to go back and duplicate a request. For example, if a PO request is denied, I receive an email notification, but I cannot access the denied PO. This creates extra work, as I must submit a new request from scratch."

- Airbase Review, Naor V.

5. Pluto

Pluto is a corporate card and expense management platform for MENA businesses. On testing, I found it to be incredibly useful for managing reimbursements and automating accounts payable.

One of my favorite features is the seamless approval workflow. It can significantly reduce back-and-forth emails and ensure that expense approvals move quickly and efficiently.

I also love how the receipt capture works. Procurement teams can simply snap a picture through the app, and Pluto automatically extracts key vendor management details like the vendor name, amount, and date. It saves so much time compared to manual entry.

The clean and intuitive interface makes onboarding easy, even for first-time users. I didn’t need much training to start, and navigating the platform felt natural from day one.

Pluto Card

That said, based on G2 reviews, I found that the initial setup with the compliance department took longer than expected for some businesses, delaying full adoption. Streamlining this process would improve the user experience.

I also think the mandatory receipt upload process gives users too little time before the card is automatically deactivated. A slight extension would make things more flexible.

From my experience, the mobile app performance could be improved. It occasionally lags, and smoother functionality would enhance usability. G2 users have echoed similar frustrations, noting that the app could be more responsive for better on-the-go management.

What I like about Pluto:

  • I found the seamless approval workflow to be one of the most valuable features. It significantly reduced back-and-forth emails and ensured that expense approvals moved quickly and efficiently, saving time and improving overall financial operations.
  • The receipt capture feature was a major time-saver. It allowed procurement teams to snap a picture through the app while Pluto automatically extracted key details like the vendor name, amount, and date. This eliminated the need for manual entry and streamlined the expense tracking process.

What G2 users like about Pluto:

"The product is incredibly easy to use, even for individuals who are not tech-savvy. The customer support team is very helpful and responds quickly. I use it at least two to three times a week and have been quite impressed. The Pluto team has designed this software to be highly user-friendly, and they have successfully achieved that goal. Additionally, the integration process is excellent, straightforward, and hassle-free."

- Pluto Review, Ram P.

What I dislike about Pluto:
  • Based on G2 reviews, I noticed that the initial setup with the compliance department took longer than expected for some businesses. Streamlining the process would greatly enhance the user experience.
  • I observed that the card was automatically deactivated if users didn’t upload receipts within a short window. Extending this time frame slightly would provide more flexibility.
What G2 users dislike about Pluto:

"What I don't like is that it takes two days for the resources to become available after the transfer is made, and payments are not processed and received by the supplier immediately, which can sometimes cause difficulties. Additionally, some features need improvement regarding synchronization with Xero. I would love for Pluto to sync in a way that allows it to directly process payments for bills recorded in Xero."

- Pluto Review, Verified User in Marketing and Advertising

6. Procurify

Procurify is an AI-powered procure-to-pay solution. While testing it, I appreciated its strong emphasis on customer success. Their support team is responsive, making it easy to get the most out of the platform.

I like the customization options that allow businesses to set up controls like spending limits, approval workflows, user permissions, budget tracking, and policy enforcement tailored to their needs. This flexibility ensures that procurement processes align perfectly with company policies.

The integration capabilities are impressive! Connecting it with other systems has been smooth, which can save teams time and effort in managing procurement workflows.

The mobile app is a huge plus for procurement and finance teams. While testing it, I noticed it was very easy to manage purchases on the go, though I’d love to see all desktop features included in the app for a truly seamless experience.

Procurify

The built-in reports could be more powerful. I noticed that they lack the level of granularity most finance teams need, and while exporting data to Excel is an option, it requires extra effort to apply filters and analyze information effectively. G2 users have also reported similar challenges with reporting limitations.

The receiving module could also be improved. I wish there was an option to return rejected items to the procurement queue without retriggering the entire approval process. This would make reordering much simpler.

Another limitation I noticed was the order request process. Procurement teams often prefer to consolidate multiple orders into a single request, even if they are destined for different facilities. During testing, I found that while I could change the shipping address during PO creation, having this option available at the initial request stage would prevent multiple submissions and reduce the need for manual checks.

What I like about Procurify:

  • The customization options allowed me to set up spending limits, approval workflows, user permissions, and budget tracking tailored to my needs. This flexibility ensured that procurement processes aligned seamlessly with company policies.
  • I was impressed by the smooth integration capabilities, making it easy to connect with other systems. This saved time and effort in managing procurement workflows without compatibility concerns.

What G2 users like about Procurify:

"This tool enables our business team to efficiently process bills and requests in a timely manner. As a Special Education (SPED) Director, it also allows me to provide the necessary support to the team, ultimately benefiting our students."

- Procurify Review, Robbie K.

What I dislike about Procurify:
  • The built-in reports lacked the depth most finance teams require, making data analysis more cumbersome. While exporting to Excel was an option, it added unnecessary steps to filter and analyze information effectively.
  • The order request process could be more streamlined by allowing multiple orders to be consolidated into a single request upfront. This would reduce manual submissions and eliminate extra verification steps during PO creation.
What G2 users dislike about Procurify:

"The only drawback I have experienced is the inability to add items to an order if something is forgotten. There is no option to edit or modify the order, only to cancel it. As a result, multiple order numbers are generated instead of a single one for tracking."

- Procurify Review, Vanessa V.
