My Review of the 8 Best Gym Management Software in 2025

January 27, 2025

best gym management software

Managing a gym isn't just about ensuring the weights are correctly racked or that classes start on time. It's a constant juggling act—handling memberships, scheduling personal training sessions, tracking payments, and keeping members engaged.

Since it's the start of the new year and my goal (as many others can relate) is to become fitter in 2025, I've spent time talking to gym owners, managers, and fitness professionals. These conversations were insightful.

Through these conversations, I've gained a deep appreciation for the behind-the-scenes challenges they face daily. From dealing with outdated systems to struggling with no-shows and billing issues, it became clear that effective gym management software isn't just helpful—it's essential.

Many gym owners start with spreadsheets, paper sign-ups, or disconnected apps, only to become overwhelmed as their business grows. The right software can streamline operations, reduce administrative headaches, and improve member retention.

That's why I set out to test today's best gym management software options. I evaluated each platform based on usability, key features, pricing, and real-world feedback from gym professionals. In this article, I'll share my top picks for the best gym management software—so whether you're running a boutique fitness studio or a large gym, you can find the right tool to keep everything running smoothly.

8 best gym management apps I tested and loved!

Gym management software simplifies operations by handling memberships, scheduling, billing, and member engagement all in one place. After speaking with gym owners and trainers, it became clear that the right software is essential for keeping things running smoothly.

While testing these tools, I looked for intuitive, flexible, and feature-rich options that support different fitness businesses. I explored scheduling, membership management, automation, and integrations like billing and CRM tools. Some platforms effortlessly streamlined operations, while others felt overly complicated or lacked key features.

The best gym management software should save time, reduce manual work, and enhance the member experience—making it an invaluable tool for any fitness business.

How did I find and evaluate these best gym management tools?

I spent weeks researching and testing software for gym management, speaking with gym owners, managers, and trainers to understand what they need most. I explored real-world use cases—membership tracking, class scheduling, billing, and client engagement—to see how each platform performed in practice.

The goal was to see if they're as good as they claim, what they're best for, and whether there's a free option you can try without any risk. I also reviewed tons of user reviews on G2 for real-world feedback and used their grid reports to see how these tools stack up against each other.

What I look for in the best gym management software (and why it matters)

Choosing the proper software for gym management is key to ensuring that clients don't miss their classes, that timings are managed well, and members can make the most of their gym memberships. I considered some factors while evaluating the top gym membership management software.

  • Scheduling and booking: Scheduling is critical for gyms offering group classes and personal training. I tested how easy it was to set up class timetables, allow online bookings, and automate reminders. I also looked at waitlist management and whether members could easily reschedule or cancel without creating extra work for staff.
  • Membership and billing management: Managing memberships and payments is one of the biggest pain points for gym owners, so I looked for software that made this process seamless. I tested how well each platform handled sign-ups, renewals, cancellations, and billing automation. I also checked for flexible payment options, including credit cards, ACH, and mobile wallets, ensuring members could pay without hassle.
  • Automation and CRM capabilities: Retention is a significant challenge in the fitness industry, so I looked at how well each software handled automated communication. I tested features like class reminders, follow-up emails for inactive members, and CRM tools that track member interactions. The best software kept members engaged easily without constant manual effort.
  • Ease of use: I knew that no matter how powerful a software is, it's not worth the investment if it's challenging to use. I prioritized platforms with clean, intuitive dashboards, easy navigation, and minimal learning curves. I tested how quickly I could set up memberships, create schedules, and process payments without extensive tutorials.
  • Reporting: I wanted to see how well each platform provided insights into gym performance. I examined dashboards and reporting tools that track revenue, attendance, retention rates, and overall business health. The goal was to find software that gave gym owners precise, actionable data to help them make informed decisions.

After evaluating these factors, I narrowed my recommendations to the best gym membership management software that stood out. Over the past few weeks, I tested over 30 gym management software to narrow down the best ones for this article. These are the ones that stood out.

The list below contains genuine user reviews of the best gym management software. It's important to note that vendors offering a free trial are also considered free in this context.

To be included in this category, a solution must:

  • Store membership data for a fitness organization
  • Provide scheduling and facilities management tools
  • Collect and record payment dues from gym or club members

*This data was pulled from G2 in 2025. Some reviews may have been edited for clarity.

1. Wodify

When I tested out Wodify, I didn't know what to expect.

One of the standout features is the reporting and analytics. The system makes it super easy to track revenue, attendance, and member engagement. If you love data, this feature alone is a huge win. Another thing I appreciate is automation and CRM—Wodify helps streamline things like membership renewals and automated emails, reducing a lot of manual work.

wodify

Email reminders to retain users

The integration capabilities are decent, which allowed me to connect Wodify with other fitness tools, though it's not always seamless. For many G2 reviewers, the user interface has also improved significantly over time, making it easier to navigate compared to older versions.

Software glitches are a common issue I have experienced. While these problems usually get fixed, I found it slightly difficult to manage on busy gym days. The mobile app is functional but not as smooth or intuitive as I'd like, especially for members trying to book classes or track progress.

Overall, Wodify is a solid option for gym owners who want an all-in-one management system with strong reporting and automation tools.

What I like about Wodify:

  • I love how easy it is to track revenue, attendance, and member trends. The reports give me real insights into my gym's performance.
  • Anytime I've had an issue, their support team has been quick to respond and help me out. That's a big plus when running a business.

What G2 users like Wodify:

"Wodify has come SO FAR. I used it in 2009 and then started using it again in 2019, and I am so impressed. It has all the benefits of other platforms, but they don't pay a nickel and dime for every new feature. I love that it is all one website/back end. I am not the most tech-savvy, yet I can do so much because Wodify is so user-friendly! Their customer support has always been fast, responsive, and helpful."

- Wodify Review, Amanda B.

What I dislike about Wodify:
  • The mobile app works, but it's not the smoothest. I spoke to some members who sometimes struggle with booking classes or checking their progress.
  • While the billing system does the job, it feels a bit rigid. I wish I had more flexibility in setting up custom payment plans for my members.
What G2 users dislike about Wodify:

"The downsides for us are their reports/billing options. It's not easy to see what upcoming payments are scheduled unless it's listed on the "payouts" tab. Also, having a payment schedule only on the 1st and 15th has been challenging, as I need another billing start date."

- Wodify Review, Sophie S.

Take control of your studio with the best studio management software. Streamline scheduling, automate payments, and enhance client experiences—all in one place.

2. PushPress

One of PushPress's biggest advantages is automation. It handles member billing, check-ins, email reminders, and class scheduling without me having to lift a finger.

Pushpress

Class scheduling

The billing system is especially useful—it automates payments and reduces the chances of late or missed dues. That's one less thing I have to chase people down for.

I've found that integrations can be a bit hit-or-miss—some third-party apps connect seamlessly, while others require workarounds. If you rely heavily on deep integrations with other software, be prepared for a bit of a learning curve.

Another challenge I've noticed is that the reporting system could be more robust. It covers the basics, but I often rely on an additional tool when I need in-depth analytics. The dashboard is helpful, but I wish it had more customization options to improve data visualization.

What I like about PushPress:

  • I love that the billing system runs on autopilot. It automatically processes payments, sends reminders, and helps reduce late payments without me having to chase members down.
  • Whenever I encounter a problem, their support team responds quickly and helps me fix things. That kind of service is rare and appreciated.

What G2 users like PushPress:

"The software is so easy to use. Customer support during migration has been outstanding. I don't know why I held off switching for so long. Should have done it years ago. My clients love their new app to book classes and track workouts."

- PushPress Review, Keyley V.

What I dislike about PushPress:
  • I wish the reports provided more in-depth analytics. It covers the essentials right now, but if I want deeper insights into member behavior or financial trends, I have to use another tool.
  • The mobile version is good for members booking classes, but as an owner, I feel it's missing some key features when I try to manage things on the go. The desktop version is much better.
What G2 users dislike about PushPress:

"I don't love the staff app. I still prefer to check our members in on the website. The gym management app is just slow to use. This may be me, and I need to try it more, but initially. I didn't love it."

- PushPress Review, Slam C.

Take control of your martial arts academy with the best martial arts software. Manage memberships, automate billing, and schedule classes effortlessly. Track progress and grow your dojo—without the stress.

3. TeamUp

TeamUp might just become your new best friend. It's a platform designed to make life easier.

Let me start with what I love about TeamUp, which is my choice of gym membership management software. It has completely simplified the chaos of managing bookings, memberships, and payments. Since it's cloud-based, I can access it from anywhere—whether I'm working on my laptop at the office or quickly checking schedules on my phone during a coffee break. The mobile-friendly design is a lifesaver, especially when I'm always on the go.

One of my favorite features is the automated email reminders. I no longer have to worry about clients forgetting their classes because they are notified ahead of time. This alone has significantly reduced no-shows for me, which means more revenue saved. The reporting and analytics have been amazing as well.

teamup

And if, like me, you hate dealing with paperwork, TeamUp has you covered. Its customizable waivers and forms handle everything from new client onboarding to liability waivers, making designing and managing documents within the platform easy.

That said, no system is perfect. I've noticed the lack of a dedicated app for instructors. While the mobile-friendly interface works well, having a gym management app designed specifically for quick schedule changes or checking in clients would make a huge difference.

Their branding is still very noticeable when I embed TeamUp into my website. It's not a dealbreaker, but I'd love more control over the design so it feels like my own.

What I like about TeamUp:

  • Honestly, the platform is super intuitive. I didn't have to spend hours figuring out how to manage bookings or track attendance—it just works.
  •  The email reminders for clients are a lifesaver. No-shows have dropped significantly because people don't forget about their classes anymore.

What G2 users like TeamUp:

"I love many things about TeamUp. First and foremost is usability. I have a diverse range of clients in terms of how easy they find it to use tech, but each and everyone finds TeamUp extremely easy to use. A close second is the level of customer service TeamUp provides. They seem to have thought of everything, but they make it extremely easy to request features and work so hard to resolve problems quickly."

- TeamUp Review, Luke M.

What I dislike about TeamUp:
  • I wish I could tweak how the integration looks on my website. Their branding is a bit too prominent.
  • While it's mobile-friendly, having an actual app for instructors would make on-the-go changes so much easier.
What G2 users dislike about TeamUp:

"It would be helpful to have an app for instructors/owners so that they can see their diaries more easily."

- TeamUp Review, Michael S.

4. WellnessLiving

WellnessLiving does a great job of keeping things organized.

If you offer online sessions, the virtual and on-demand classes feature is a game-changer. I can easily upload workout videos for my clients, who can complete sessions at their own pace. There's also an option for live virtual class scheduling, which has been perfect for my hybrid business model.

One of the things I love about WellnessLiving is the branded mobile app. It makes my business look more professional, and my clients can book, cancel, and manage their sessions from their phones—without constantly texting or calling me. Scheduling is by far one of the platform's strongest features. Setting up recurring classes, appointments, and automated reminders is incredibly easy using their gym management app or website.

wellness living

Multiple ways of booking an appointment

The reporting tools aren't as intuitive as I'd like. The filters can be overly complicated, and I often spend too much time just trying to pull the data I need. I've also noticed that certain reports, like client history and attendance, don't always display the right information after migrations.

The built-in email system has also been frustrating at times. If I want to add an image to my emails, I have to use an external tool first—there's no simple drag-and-drop functionality for customization. Another minor issue I've run into is with the payment system. Right now, I don't have the option to choose my payment processor—I'm limited to what WellnessLiving supports. It would be great to have more flexibility here.

What I like about WellnessLiving:

  • Scheduling and automated reminders are lifesavers. I barely have to manually follow up with clients because the system handles everything.
  • Uploading workout videos for my clients adds so much extra value. It lets them train on their own schedule, which they love.

What G2 users like WellnessLiving:

"WellnessLiving is great because it's easy to use and has everything you need to run your wellness business smoothly: appointments, sales, clients, rewards, marketing, etc. They keep updating it to make sure it stays useful and relevant for you to help your business grow."

- WellnessLiving Review, Karla C.

What I dislike about WellnessLiving:
  • I wish I could choose my own payment processor instead of being stuck with the ones WellnessLiving offers. More options would mean fewer transaction fees.
  • Sometimes, the system lags, and the app crashes, making it frustrating when I just need things to work smoothly.
What G2 users dislike about WellnessLiving:

"Setting appointments for clients had too many prompts. The app was cumbersome to maneuver. It needs to be more intuitive."

- WellnessLiving Review, Hanalaura W.

Automate bookings, reduce no-shows, and streamline your calendar—so you can focus on what matters most. Take control of your schedule with the best online appointment-scheduling software.

5. ABC Glofox

ABC Glofox is not just another gym management app; it's like having a personal assistant for your fitness business.

I barely had to deal with a learning curve because Glofox is designed with simplicity in mind. My team was up and running almost instantly, which meant I didn't have to spend hours training them. And I must mention the custom branding—it's a huge plus. I can personalize the app with my studio's colors and logos, making it feel like a true extension of my business. For anyone serious about brand identity, this is a big win.

I love that you can track the membership details in-depth. This helped me stay alert and ensure I sent reminders when the membership expiry date was approaching.

abc glofox

As much as I like Glofox, it's not without its quirks. One thing that could be improved is the calendar functionality. Currently, members can only view schedules in daily or weekly formats, which feels limiting. A full calendar view would make planning so much easier.

One feature I absolutely love is the recurring payments system. Setting it up is incredibly simple, and it keeps memberships running smoothly without the hassle of manual follow-ups. The in-app messaging has also been a lifesaver. Whether I need to send reminders to all members or have one-on-one chats, everything runs seamlessly. The reporting tools are another standout. From tracking conversion rates to analyzing attendance and payments, the data insights have been invaluable for my business.

That said, I've noticed the booking system can be a bit rigid. It works well for classes, but setting up individual gym sessions feels clunky. Having more flexibility here would make a huge difference.

What I like about ABC Glofox:

  • I love that I can personalize the app with my gym's colors and logos—it feels like an extension of my brand.
  • Setting up recurring billing is effortless, and the in-app messaging options are a lifesaver for staying connected with members.

What G2 users like ABC Glofox:

"The help that's available at the click of a button. I feel they listen and give you the attention you need. If you dream it, they can achieve it! I feel they really care about my business and my story. They give me a platform to share my product with the world."

- ABC Glofox Review, Paul S.

What I dislike about ABC Glofox:
  • While it's mostly reliable, the system has occasional hiccups that can be frustrating during busy times.
  • It's great for classes, but setting up bookings for individual gym sessions feels clunky and cluttered.
What G2 users dislike about ABC Glofox:

"Glofox has consistently over-promised and underperformed. We have experienced 2-3 months of absolute useless tech. The app is broken, our sales/lead management system is not working, and clients are being billed wrong. I have mentioned multiple times that if we could fire them, we would, but sadly, this is our only real option."

- ABC Glofox Review, Verified user in health, wellness, and fitness.

6. Gym Insight

When I first decided to test out Gym Insight, I was looking for something that could handle my gym's daily operations without the headache of complex software.

One of the features I love most about Gym Insight is the barcode scanning system. My members can check in quickly by scanning their barcode, and their visit is instantly logged. This has dramatically reduced front desk congestion and made the entry process seamless. Since the software is cloud-based, I can manage my gym's data from anywhere. Whether I'm at home or on the go, I can easily check in on daily stats and operations without being tied to my office computer.

That said, one of my biggest frustrations is the lack of built-in email functionality. I have to use a separate service to send emails to my members, which adds an unnecessary extra step to my workflow.

Overall, Gym Insight is a powerful and reliable gym management system with standout features like barcode check-ins, detailed reporting, and cloud-based access. The customer service has been responsive, and it truly simplifies my daily operations.

Gym Insight Homepage

What I like about Gym Insight:

  • I can pull up all kinds of reports, from membership trends to revenue insights. This has made managing my business much more strategic.
  • My members love how simple it is to scan their barcodes and walk right in. It keeps the front desk running smoothly.

What G2 users like Gym Insight:

"Gym Insight has some of the best customer service I've ever experienced. They're always prompt in addressing my questions and concerns. The software itself offers lots of advantages, easy-to-use tools, and reports, and it helps me find people who owe me money. It meets all my needs; it functions flawlessly, and it simplifies the process of training new employees."

- Gym Insight Review, Hira S.

What I dislike about Gym Insight:
  • It's frustrating that I have to use an external service for emails instead of sending them directly through Gym Insight.
  • The software is generally smooth, but there are small areas where the design could be a little cleaner and more polished.
What G2 users dislike about Gym Insight:

"We really miss the ability to email and text our members directly through the desktop program. It seems the only way to communicate easily with members is if they have the app. Some of our members do have it, but most do not. It used to be seamless to get a short message out to all members."

- Gym Insight Review, Sara T.

7. Wellyx

What I love most about Wellyx is that it's truly an all-in-one solution. I don't need separate software for scheduling, payments, or client management—it's all built into one platform.

Once I got the hang of it, the interface felt smooth and intuitive. My team and I don't have to struggle with complicated menus or confusing dashboards—everything is designed to be user-friendly after the initial learning curve. The booking and scheduling process is intuitive and straightforward.

wellyx

The mobile app is useful, but I do wish it had the same level of functionality as the desktop version. It's fine for handling basic tasks, but I'd love to see more customization options and a smoother UI/UX experience.

Overall, Wellyx has been a solid choice for me, especially with its automation, customization, and analytics features.

What I like about Wellyx:

  • Whether you run a gym, spa, or personal training studio, Wellyx adapts. I could tweak the settings to match exactly how my business operates.
  • I can see real-time insights on revenue, attendance, and client engagement. It helps me make smarter business decisions without digging through spreadsheets.

What G2 users like Wellyx:

"It covers all parts of our gym and spa, so it is comprehensive in its features. The support team is really helpful and goes above and beyond what I was expecting. They copied my previous software forms manually and added them to the system so my customers could sign waivers. It is also cheaper than my previous software, so I got better software and saved money, too."

- Wellyx Review, Mike O.

What I dislike about Wellyx:
  • While it's functional, the mobile app isn't as smooth as the desktop version. I'd love to see more features optimized for mobile use.
  • Setting it up took longer than I expected. I had to spend a good amount of time figuring out where everything was and how to customize it properly.
What G2 users dislike about Wellyx:

"While using Wellyx, I came across limitations. Despite automated payment procedures and staff salary calculations, there may still be errors in the system."

- Wellyx Review, Luann H.

8. ClubReady

If you're running multiple systems, ClubReady's API integration makes life much easier. I was able to connect it with my existing tools, and their support team was super helpful in setting things up. The automation tools are a huge time-saver. Emails, appointment reminders, and follow-ups happen automatically, so I don't have to manually track every lead. The setup process takes some effort, but once it's dialed in, it works like a charm.

What I like about ClubReady:

  • I can easily track revenue and overdue payments and generate reports without dealing with a messy, complicated system.
  • I don't have to spend hours figuring things out. The interface is pretty intuitive, and I can quickly schedule classes.

What G2 users like ClubReady:

"I like how seamless the product is. How great the team is. Everyone is helpful, knowledgeable, and personable. Ease of integration implementation is always a plus!"

- ClubReady Review, Danielle P.

What I dislike about ClubReady:
  • Occasionally, I run into small bugs—text messages that do not send properly, data exporting issues, or slow response times.
  • It's great for managing memberships and scheduling, but if I wanted built-in nutrition tracking or detailed workout programming, I'd need another tool.
What G2 users dislike about ClubReady:

"System crashes quite often, not that user-friendly, not that great for auto-renewals."

- ClubReady Review, Verified user.
